The Administrative Assistant at The Reform Alliance (TRA)  is a critical team member responsible for coordinating and managing some of the offices most critical functions. These vital functions include providing administrative support to the Managing Director and supporting TRA programs by providing a wide variety of complex and administrative support and engaging with parents, TRA leadership, staff, other government agencies, and stakeholder groups. 

This role requires outstanding customer service, enthusiasm, communication and planning skills, meticulous attention to detail, accuracy, follow-through, and self-motivation. Must maintain a courteous and professional attitude in dealing with people within and outside of TRA.  Must demonstrate behavior and have a reputation that is aligned with the core values of TRA.  Must be at least 18 years of age. 

The position is full-time and permanent. The position is located in Little Rock, AR.

Responsibilities include, but are not limited to:

  • Serve as initial point of contact, answering phone and greeting visitors
  • Managing inbound email and route to appropriate members of the TRA team
  • Coordinate and oversee field staff expense reports, handles communications and appointments in a timely and efficient manner
  • Manage electronic and paper filing systems for the Managing Director
  • Plan and coordinate logistics, materials, and follow-up materials for TRA meetings, trainings and staff trainings
  • Manage office supplies, organization and upkeep, and other office responsibilities as requested by the Managing Director
  • Participate in all staff meetings and trainings to take minutes, notes
  • Coordinate and oversee Succeed Scholarship payment processing ensuring timely receipt of all appropriate documentation and accurate distribution of funds.
  • Create and maintain appropriate project documentation
  • Manages special projects assigned by the Managing Director
  • Read and stay current on the state, local and national education issues that impact the ability of all Arkansas students to achieve a world-class education.

Required Education, Credentials, & Experience

  • Must be honest, thoughtful, kind, committed to excellence, and reliably exercise sound judgment; is emotionally mature and possess solid stakeholder management and relationship building skills
  • A Bachelor’s degree or equivalent experience is required.
  • Habitually provides outstanding customer service and displays an appropriate sense of urgency
  • Excellent organizational, written and verbal communication skills
  • Coachable and willing to learn new skills and independently seek learning opportunities to benefit the organization
  • Flexibility and adaptability to change in a dynamic workplace environment
  • Minimum of three years of job-related work experience, preferably in education, business or a corporate setting
  • Substantial project and time management skills, effectively backward plan, juggling multiple priorities and delivering consistent, timely and accurate results
  • Ability to redirect work priorities and assignments as requested
  • Proficient computer skills
